Checklist for your hybrid office design

05/12/2023

Are you planning to (re)furnish your office soon? Then it’s best not to do it on the spur of the moment. You want to create an inspiring office environment that ensures productive, motivated employees. While no checklist can be 100% complete, the list below will give you a handle on how to optimise your hybrid office design.

  1. Preparation
Before you start, it’s essential to consider several aspects thoroughly. Consider the purpose of the project, your company vision, culture and values, budget, and deadlines. Of course, things like square metres, occupancy, teams, tasks, and the desired way of working are also important. Be sure to involve your employees in this process too. Utilising their insights and ideas is invaluable and increases support for change. By having everything clear from the start, we tailor your office design more precisely to your needs and use resources more efficiently.

  2. Ergonomics
Investing in ergonomic furniture is essential. Ergonomic office chairs ensure an active, healthy sitting posture. Sit-stand desks, in turn, encourage you to alternate your working posture, while a suitable monitor arm allows you to adjust your computer screen to the perfect height and depth. But ergonomics is about more than just that. These are all factors that make people feel comfortable in their work environment. Allowing them to function better and improve their performance.

  3. Acoustics
Controlling the acoustics in your office cannot be underestimated. It’s a basic requirement for creating a productive work environment and the well-being of your employees. Consider adding sound-absorbing elements, like acoustic cubes, screens, and wall or ceiling panels.

  4. Flexible workplaces
Create various types of workstations or zones where people work according to the task or time of day.

Spaces specifically for collaboration range from informal seating areas to dedicated meeting zones. Facilitate collaboration and creativity by tailoring the furnishings accordingly, including whiteboards, (projection) screens, digital collaboration tools, and movable furniture.

In turn, concentration workstations offer a solution for employees who want to isolate themselves and work in peace. These are often a relief within the open landscape office. Go a step further and choose quiet zones where peace and privacy are the norm and external stimuli are kept to a minimum.

  5. Sustainability and circularity
Dare to go beyond sustainable, eco-friendly materials, or energy-efficient lighting. Consider the idea of circular office design. We perfectly repurpose existing office furniture, revitalise it, or give it a new function. This way, we use raw materials sparingly and avoid waste.

  6. Smart technology
Integrate technological innovations to make more efficient use of your premises and work environment. Sensors allow you to significantly improve the work environment and experience for your employees. For example, you can easily reserve a workplace, meeting room, or smart locker via your smartphone. Plus, you gain interesting insights from this data with which to further optimise office space as the facility manager. After all, a future-oriented office is smart and adaptive.

  7. Storage
An organised workplace is an efficient workplace. So be sure to provide enough space to neatly store documents or personal items. Within the flexible character of your hybrid office, we wan to once again recommend smart lockers: not only can your employees store their personal belongings there safely, but they can also have packages delivered there, for example.

  8. Lighting
Daylight makes us happiest. It stimulates our biorhythms and reduces physical and mental fatigue. So make sure to provide sufficient natural light, supplemented by well-placed artificial lighting. Adjustable light intensity and colour temperature also play a role here in promoting employees’ well-being and performance.

  9. Plants and decoration
Plants improve air quality, increase humidity, and neutralise harmful dust particles. They also act as soundproofing and have a calming effect.
Of course, the finishing touch to your office should not be missing! Add character to your workspace with decorative elements or artwork, among other things. It’s a unique opportunity to express your corporate culture to employees, customers, and visitors.

This checklist is not meant to be an end point. Always remain open to change, gather feedback, and adapt your office environment to the evolving needs of your business, your people, and your teams. This is how you create a hybrid work environment that is not only functional, but also responds to the changing demands of the modern workplace.
